AI for how your projects really run.
From brief and permit to site report, project knowledge lives in drawings, models, minutes, mail and people's heads, spread over many parties. We map how your projects actually run, make what you already have findable and traceable, and then build what saves your teams time.
Less paperwork, more grip on the project.
A site visit can take as long again to write up, and actions per party are followed up by hand.
A draft report in your own template the same day, with actions per party. A person checks and sends.
Reusing a detail, a decision or a reference depends on who remembers where it is, especially when it's a drawing or a plan.
Search by project, phase and topic, with a link to the source file.
Official advice and permit conditions arrive as long documents, and a new or changed point is easy to miss.
Advice placed next to your own minutes, with what's new or different flagged.
Specifications and bills of quantities run to hundreds of pages, and checking them for gaps and conflicts takes weeks.
A first check that lists missing items, wrong units and duplicates, each pointing to where it comes from.
Every partner shares through another platform, and V1, V2 and V-final have to find their way back to your own records.
A check at every phase close: what's missing, what's outdated, what's misnamed.
Most of a practice's knowledge sits in drawings, models and people's heads. We start by making it findable, and build what your teams choose on top of it.
A foundation first, then a menu.
Each application tackles a bottleneck we mapped together with an architecture firm. You choose which ones, at your own pace, and each one starts with a small pilot.
Start with a foundation
First we make your project information findable and consistent: by project, phase and topic, always with a link to the source file. It keeps its value even if you stop there, and every tool you add later builds on it.
Questions your team can then ask
- “Which detail did we use before for a green roof on a timber structure?”
- “What did the fire service remark on our last three care projects?”
- “Who worked on the previous project for this client, and where is the final report?”
Site and meeting reports, drafted the same day.
Turns notes or a recording into a draft in your report template, with decisions and actions per party. Your architect or project manager checks and sends.
Talk to us about it Permit follow-upSpot what's new in every advice.
Puts official advice next to your own meeting minutes and flags what's new or different, per project and per authority.
Talk to us about it Specification checkSpecifications that add up.
Compares the model, the bill of quantities and the specification, and flags missing items, wrong units and duplicates, each with a pointer to where it comes from.
Talk to us about it Phase-close checkA project file that's complete at every phase.
At each phase close, checks that files are back on the server, correctly named and clearly final, and lists what's missing.
Talk to us about it Price registerEstimates built on recent prices.
Reads unit prices from incoming offers, links them to your specification codes and shows comparable prices from earlier projects.
Talk to us about it Revit automationLess clicking on lists, views and sheets.
A shared library of small scripts for repetitive drawing and modelling work, such as door lists, views, sheets and schedules.

Clients and project organizations
Large projects run on many parties, documents and decisions. We help keep reports, advice and versions findable and traceable, so you can show what was decided, when and why.
Architects, engineers and project managers
They carry the meetings, reports and coordination on every project. We take the paperwork off their plate, and help check specifications and estimates.
Teams starting with AI
Business accounts, a short list of approved tools and an AI Champion per team, with training on your own work through the Rollo Academy.
POLO Architecten: from project process to AI roadmap.
POLO Architecten wanted to know where AI could really help its project teams. We started from how their projects actually run, not from a list of tools.
Mapping the project process
In a workshop with POLO's teams we mapped every phase, from competition and acquisition to aftercare: who does what, which systems they use, and where time and margin get lost.
A process map with the bottlenecks
We turned the workshop and POLO's own project checklist into one end-to-end process map, with the bottlenecks per phase.
A phased AI roadmap
First a foundation that makes project information findable, then a menu of applications POLO chooses itself, each starting with a measured pilot.
Every next step starts with a baseline measurement, so POLO decides on numbers, not on a feeling.
Small, measured steps.
We start with something that has value on its own and measure what it delivers. Then you decide what comes next. No big package is fixed up front.

Questions we hear.
Do we need to move or restructure our files first?
No. We start from where your files are today, the project server first, and agree a structure for new projects as we go.
Does it work with drawings, plans and models?
Text documents come first. Drawings, plans and scans are harder to search, so we test them separately in the pilot before promising anything.
Who can see what?
Existing access rights keep applying: if someone can't open a folder, they don't see results from it either.
Do we have to commit to a big package?
No. Each step stands on its own and starts with a small, measured pilot. You decide what comes next based on the results.
Can we use this for documents that may later serve as evidence?
Yes, as long as a person stays the author. AI makes a draft, your architect or project manager checks and sends it, and every answer links to its source, so the trail stays clear.
Where does our project data live?
We work with business accounts and inside an environment you approve. Existing access rights keep applying, and your data is not used to train AI models.
Can our team learn to work with this?
Yes. The Rollo Academy trains your teams on their own work, with the tools they already use, such as Copilot.
Start with what you already have.
